Common pitfalls in Xero multi-currency inventory pricing

Enabling multi-currency is not enough — inventory items still hold one sales price, and retyping UnitAmount is where the pain lives.

The problem is more specific than it sounds

Cross-border teams often say the same thing:

“We can already raise foreign-currency invoices — but every inventory item still has one sales price, so we retype UnitAmount on every draft.”

That usually mixes two issues:

  1. Plan and capability — whether the org can already use multi-currency in Xero (plan + currencies added)
  2. Feature gap — even with multi-currency, inventory items still store a single sales price, with no fixed list price per currency

So people convert or retype UnitAmount from spreadsheets, then fix errors at month-end.

Common workarounds (and their cost)

ApproachCost
Google Sheets for per-currency list pricesVersion chaos, handoff pain, typos
Manual UnitAmount on every foreign draftSlow, hard to audit, errors under time pressure
Treating fixed market prices as one-off FX conversionQuotes don't match real list prices
Switching accounting systemsMigration + training cost — when what's missing is a pricing layer

A healthier pattern

Treat multi-currency item pricing as its own capability on top of multi-currency Xero:

  • Maintain fixed sell prices per currency in a dedicated tool
  • Apply the correct UnitAmount when creating documents
  • Write DRAFT invoices/quotes into accounting for human review

That is the design direction of our in-house product MultiCurv: for organisations that already use Xero multi-currency, closing the inventory price-list gap — not unlocking a Xero plan, and not a substitute for multi-currency-capable Xero. Now in Private Beta — apply to try it. See the case page or the product site at multicurv.com.

Checklist for decision makers

  1. Can your org already raise foreign-currency quotes/invoices (multi-currency enabled)?
  2. How many foreign quotes/invoices per month?
  3. How many inventory items, and do you keep fixed list prices per market?
  4. Who owns the price list today — and how often do UnitAmount mistakes happen?

If you already run multi-currency Xero but still live in spreadsheets for item prices, book a consult or apply for Private Beta at multicurv.com.
